Introduction
K.A.Z Carriers respects your privacy and is committed to protecting your personal data. This policy explains what we collect, why we collect it, how it is stored and the rights you have over it. It applies to anyone who uses our website, requests a quote, books a service or otherwise interacts with us.
Information we collect
We only ask for the information we need to deliver a courier service safely and contact you about it. That typically includes:
- Your name and the name of any contact at collection or delivery
- Phone number and email address
- Collection and delivery addresses
- Billing details (for business accounts and invoiced work)
- Company name, VAT number and trading address where relevant
- A description of the goods being moved and any special handling notes
- Photos of items, parcels or proof-of-delivery signatures where these are part of the job
- Basic website analytics (pages visited, device type, approximate location) so we can keep the site working
We do not knowingly collect special category data (such as health information) and we do not ask for it as part of a booking.
How we use your information
Your information is used to:
- Provide a quote and confirm a booking
- Collect, transport and deliver your goods
- Contact you about a job in progress (running late, access problems, signature on the door, etc.)
- Issue invoices and process payments
- Keep records required for tax, insurance and regulatory purposes
- Improve our service based on customer feedback
Lawful basis for processing
Under UK GDPR we rely on the following lawful bases:
- Contract — we need your details to perform the courier work you have asked us to do.
- Legal obligation — for tax records, insurance claims and any regulatory reporting.
- Legitimate interests — to run our business efficiently, prevent fraud, and improve our service.
- Consent — where you have specifically opted in, such as agreeing to receive an email update.
Data security
We hold customer information on access-controlled devices and in reputable cloud services that are themselves UK GDPR compliant. Paperwork containing personal data is kept secure in the vehicle while in transit and destroyed once it is no longer required.
Sharing with third parties
We do not sell your personal data. We will only share it with:
- Subcontracted drivers or partner carriers who are helping us complete your job
- Our accountants, insurers and professional advisors where strictly necessary
- Service providers that run our booking, email and invoicing tools
- Law enforcement, regulators or other authorities where we are legally required to do so
Where a third party processes data on our behalf, we put a written agreement in place that obliges them to handle it securely and only on our instructions.
Data retention
We keep customer records for as long as we need them to deliver your service and meet our legal duties — typically up to seven years for accounting and tax records. Booking enquiries that don't proceed are deleted within twelve months unless you ask us to keep them.
Cookies and the website
Our website uses a small number of cookies and similar technologies to keep the site running and to understand how visitors use it. We do not run advertising trackers. You can clear or block cookies in your browser at any time without affecting your ability to request a quote.
Your rights
You have the right to:
- Request a copy of the personal data we hold about you
- Ask us to correct anything that is inaccurate or incomplete
- Ask us to delete your data where there is no overriding reason to keep it
- Restrict or object to how we process it
- Withdraw any consent you have previously given
- Complain to the Information Commissioner's Office (ICO) at ico.org.uk
